Using the Zoom scheduler tool in Canvas, proceed to set your scheduled class up.

1. In the Security section, set a passcode for your Zoom class. A passcode is essential when setting up a class for external user access. We recommend setting a strong password with a combination of letters and numerals.

2:  In the Security section, select All authenticated users (includes external speakers) from the list under Require authentication to join.

Selecting All authenticated users (includes external speakers) allows you to include users outside of MTU Cork but who authenticate to Zoom using their own personal Zoom accounts.

3: Click Save to save the scheduled meeting. Click Copy the invitation, which includes the URL of the scheduled class and the password set in step 2. Click Copy Meeting Invitation

Step 4:

Paste the invitation text into an email, and send the email to the guest lecturer.

Note: The option for alternative host will not work for a guest speaker, this feature can only be used for people who are part of the MTU Cork account.

The guest lecturer needs to have a Zoom account to participate in your session. You will also need to admit the lecturer from the waiting room, as you would any other Zoom session.

It is recommended to meet with the guest lecturer 5-10 minutes before the class commences so you can admit them from the waiting room and proceed to grant them any relevant meeting control access in Zoom.


In the class:

If your guest lecturer requires screen share access you can set them up as a co-host in the class. 

There are two ways that you can make a user a co-host.

During a meeting:

  1. Hover over a user's video.
  2. Click the more icon .
  3. Click Make Co-Host.

Using the participants window:

  1. Click on Manage Participants in the meeting controls at the bottom of the Zoom window.
  2. Hover over the name of the participant who is going to be a co-host, and choose More.
  3. Click Make Co-Host.
